The School of Architecture is seeking an Exhibition Coordinator to be responsible for the coordination of school exhibitions, shows and temporary installations of demonstration projects. Reporting to the Dean and Department Manager, the person in this position will implement exhibition programing as outlined by the Dean and coordinate the School’s activities in these areas, including budget oversight.
The Coordinator will also supervise subcontractors and students, as needed, and maintain positive working relationships with visiting scholars, and School and University colleagues. As a key point of contact for School-based and external constituencies in the area of exhibitions, the incumbent will ensure that the programs serve the School’s mission and vision.
The position is full time and requires some weekend and evening hours.
- Work with the Dean to plan seasonal and ongoing exhibitions, installations and shows, including traveling exhibitions as well as shows curated by faculty and/or students.
- Manage the scheduling of the yearly activities in these areas. Manage the annual schedule of the exhibition programs at the School. The incumbent should ensure that exhibitions are coordinated with the curricular activities of the School. This is of particular importance since the School galleries are also used for curricular purposes as studio pin-up and review spaces.
- Working with the School’s Communications Manager, coordinate PR and marketing materials (including social media) that accurately convey SoA’s exhibitions and related activities.
- Manage and coordinate with the School and University staff the logistics for all exhibition programing.
- Coordinate with faculty, partner architects and institutions as needed.
Exhibition Implementation and Coordination
- Implement and coordinate all School exhibition programs.
- Work with faculty, University and outside institutional partners, as needed, to implement exhibitions.
- Provide registrarial, logistical and administrative support as required for exhibition programming. This includes arranging shipping, insurance, transport, reception, condition checking, developing loan agreements, handling insurance, ongoing maintenance of exhibitions once installed, disassembly and return shipping, and overseeing and arranging for storage.
- Coordinate all facets of exhibition installation, including lighting, labels and wall texts, painting, supplies, and materials.
- Work with various departments at the University, including Facilities (painting, carpentry, lighting and shipment delivery), the Art Museum, Media Services, and Printing and Mailing Services, as necessary.
- Manage the spaces affected by exhibitions and ensuring that they are returned to their pre-exhibition condition
- Work with the Department Manager on the budget planning, forecasting and reporting for School's exhibitions. Financial oversight of the exhibition budgets.
- Work within the University’s financial business systems to process POs and invoices as needed.
- Manage the budget exhibitions with the Department Manager. Meet defined financial goals.
- Reconcile expense reimbursements.
- A minimum of 2 to 3 years administrative experience is required.
- Bachelor's degree or its equivalent is required, preferably in Architecture, Architectural History, Art History, Museum Studies or related Art fields.
- Exceptional written and oral communication skills.
- Exceptional demonstrated organizational ability and attention to detail is required.
- Experience developing and managing budgets.
- Excellent interpersonal skills are required.
- Experience working with diverse groups of people including supervision.
- Strong team skills and ability to work to deadlines are essential.
- Able to work independently.
- Ability to manage multiple projects within an ever-changing environment.
- Ability to solve problems and prioritize needs in a variety of situations where immediate decisions may be necessary.
- Excellent computer skills with competence in Word, Excel, Adobe Suite and Outlook are necessary.
- Knowledge of architecture field.
